How to digitize your Hajj & Umrah agency before the next season

How to digitize your Hajj & Umrah agency before the next season

A season-by-season guide to moving pilgrim records, packages, rooms, instalments and supplier bills out of spreadsheets and into one system, with a 6 to 8 week plan before your next departures.

Key takeaways

  • Keep one pilgrim register as the source for visas, rooms, flights and payments
  • Build packages from real flights, hotels, transport and services so profit is visible before departure
  • Post hotel, transport and visa bills to each group as they arrive
  • Start six to eight weeks before the season and run one pilot group first
  • Review profit, collections and document problems within weeks of the last return

Hajj and Umrah management software replaces the spreadsheets, notebooks and WhatsApp groups that most agencies use to run a season with one system: one register of pilgrims, packages built from real flights, hotels and transport, groups and rooms, instalments, supplier bills and reports. If you start six to eight weeks before your busiest departures, you can move over without disrupting pilgrims who have already paid.

This guide is for owners and operations managers of Hajj and Umrah agencies, Umrah operators and the sub-agents who work with them. It walks through what to move into the system, in what order, who on your team does what, what to measure when the season ends, and what to ask a vendor before you sign. It is written to be useful whether or not you choose TravelSuite ERP.

One point before we start. Hajj quotas, Umrah visa processes and the rules for licensed operators differ by country and change from year to year. Always confirm current requirements with the official authorities, such as Nusuk and the Saudi Ministry of Hajj and Umrah, and your own country's religious affairs ministry. Software helps you follow the rules; it does not set them.

Why spreadsheets break during the season

A spreadsheet works well for one group of twenty pilgrims. It struggles when you run several Umrah departures a month, a Ramadan Umrah rush and a Hajj group at the same time. Each group gets its own file, each staff member keeps a slightly different copy, and nobody is sure which version is current.

The problems appear in the same places every season. A passport expires and nobody notices until the visa is refused. A family is split across two rooms because the rooming list was typed by hand. A pilgrim says they paid the second instalment, but the receipt is in a WhatsApp chat and not in the ledger. The hotel in Makkah sends its bill and the accounts team cannot tell which group it belongs to. And when the owner asks which package made money, the answer comes weeks after the pilgrims are home.

None of this is a staff problem. It is a structure problem. When the pilgrim list, the package, the payments and the supplier costs live in separate files, every link between them is made by a person, and every link made by a person can be missed.

What Hajj and Umrah management software should hold

Good Hajj agency management systems keep five things in one database and connect them: the pilgrim, the package, the group, the money coming in and the money going out. The table below shows how each area changes when you move it out of spreadsheets.

The pilgrim register and documents

Start with one register. Every pilgrim is entered once, with passport details, photo, contact and emergency contact, and that record becomes the source for the visa, the flight seat, the room and the invoice. In TravelSuite ERP, each pilgrim file holds the passport, photo, vaccination and visa status, and mahram and family relationships are recorded on the file so families and companions stay together.

The value of a register is not storage; it is visibility. Your operations team should be able to filter a departure and see who is ready to travel and which documents are still missing, long before the flight. TravelSuite shows document readiness by travel group and alerts staff to missing or expiring documents.

Packages built from real components

A package is more than a price. It is a set of components that each have a cost and a supplier: flights, Makkah and Madinah hotels, ground transport, ziyarat, visa processing, insurance and service-provider charges. In TravelSuite, Hajj, Umrah and Ramadan Umrah packages carry their dates, inclusions and seat counts, and you can see how many seats are sold and how many are still available.

Because the costs are attached to the package, the profit of each package is visible before departure rather than months afterwards. That matters when you are deciding whether to release more seats or add a second hotel block.

Groups, rooms and transport

Once pilgrims are in packages, they are organised into travel groups for each departure. Rooms are allocated by room type and sharing, such as double, triple or quad, from your contracted hotels, and buses and guides are assigned to each group. From there the system can produce the lists your partners need: flight manifests, rooming lists for each hotel and transport lists for the bus company.

For ground transport, the transport module plans buses for Jeddah, Makkah and Madinah transfers and ziyarat, allocated to pilgrim groups. Drivers can receive trip sheets with pick-up times and passenger details by WhatsApp.

Instalments and reminders

Most pilgrims pay in parts, and following up on dues is one of the most time-consuming jobs in the office. In TravelSuite you set an instalment plan per package, record each deposit or instalment against the booking by cash, bank transfer or mobile wallet, and the outstanding balance updates straight away. Due reminders go out by SMS or WhatsApp, and managers see collected and outstanding amounts per group.

Supplier payables: hotels, transport and visa

The other half of the money is what you owe. Hotels, transport companies, visa processing and your service provider in Saudi Arabia all send bills, often in different currencies and on different terms. In TravelSuite, suppliers are vendors with their own profiles, and a vendor selected on a Hajj and Umrah form turns into a vendor booking with a payable. Vendor Payments then lists each payable with its due date, total, paid and due amounts, and finance records suppliers with their currency and payment terms.

When supplier costs are posted against each group as they arrive, the season's profit is a number you can read at any time, not a calculation you make once the last bill is paid.

Running the year: Umrah, Ramadan Umrah and Hajj

Most agencies do not have one season. They run Umrah through much of the year, a busy Ramadan Umrah period and, if licensed, a Hajj programme. Each has a different rhythm, and your system should let you work on all three at once without mixing them up.

Umrah all year. Short departures, frequent groups and many walk-in or WhatsApp enquiries. Speed of registration and fast visa tracking matter most. Package templates you can copy for each departure save hours.

Ramadan Umrah. Demand concentrates into a few weeks, hotel rates near the Haram rise and rooms sell out early. You need live seat and room counts per package, and early instalment collection so you can pay hotel deposits on time.

Hajj. Long preparation, regulated registration, larger payments and more documents per pilgrim. The process is set by your country's authority and the Saudi side, so track every step on the pilgrim file and confirm requirements with the official bodies each year.

In TravelSuite, every package belongs to a journey, and reports can be filtered by Hajj, Umrah or Ramadan Umrah. That lets you compare seasons cleanly and see whether Ramadan Umrah is carrying the rest of the year or the other way round.

How Hajj and Umrah management software follows the pilgrim's journey

It helps to picture one pilgrim moving through your agency. Each step should happen in the same system and leave a record that the next person can see.

  1. 1Enquiry
  2. 2Registration
  3. 3Package and payments
  4. 4Visa
  5. 5Group and rooms
  6. 6Travel and return
One pilgrim file from first message to return
  1. Enquiry: A family asks about Umrah on WhatsApp or at the counter. The enquiry is logged against a contact, and your team replies with package details from a saved template.
  2. Registration: Passport, photo, contact and emergency details are captured once, by your team or by a sub-agent through their own portal.
  3. Package and payments: The pilgrim chooses a package and sharing type. The price, instalment plan and inclusions follow, and the deposit is recorded with a receipt.
  4. Visa: Documents are checked against the requirement list and the visa application is tracked stage by stage in the visa module, from document collection to delivery.
  5. Group and rooms: The pilgrim is allocated to a travel group, a room, a bus and a guide, and appears on the manifest and rooming list.
  6. Travel and return: Pilgrims receive their itinerary and ID card, the group travels, supplier costs are settled and the profit for the group becomes final.

If a step in this chain happens outside the system, for example a payment recorded only in a notebook, the chain breaks and the next person works from incomplete information. The aim of digitization is to make every step leave its mark on the same file.

Staff roles: who does what in the system

Software does not organise a team by itself. Before go-live, decide who owns each part of the season and give each person the screens they need. A typical Hajj and Umrah agency has four groups of users.

RoleOwnsWorks on
Registration desk and salesEnquiries and new pilgrimsRegistration, packages, deposits, receipts
Operations teamReadiness of each departureDocuments, visas, groups, rooms, buses, guides
AccountsMoney in and money outInstalments, supplier bills, agent commission
ManagementSeason resultsSales trend, top packages, profit by group

Sub-agents are a fifth group if you work through them. In TravelSuite, sub-agents can register their own pilgrims, see packages and live prices, and track their payments, commission and balance. Agent commission and payouts are part of the Business plan.

Write down one rule for each role: who may change a package price, who may record a payment, who may move a pilgrim between groups. Ask your vendor how access is controlled for each user, and keep the list of people who can edit prices and payments short.

A 6 to 8 week digitization plan before the season

Moving in the middle of a busy season is painful. Moving six to eight weeks before your main departures gives you time to set up, import, train and run one real group through the system before the rush. Here is a plan you can adapt.

WeekFocusDone when
Weeks 1 to 2Decide and preparePlan chosen, owners named, data cleaned
Weeks 3 to 4Set upPackages, hotels, vendors and payment methods entered
Week 5Import and checkPilgrims, balances and agents match your records
Week 6TrainEach team has done its daily tasks in the system
Weeks 7 to 8Pilot and switchOne real departure run end to end, old files closed

Weeks 1 to 2: decide and prepare

List your five worst problems from last season and choose the system against them, not against a feature list. Name one owner for the project and one person per team. Then clean your data: one row per pilgrim, passport numbers checked, duplicate contacts merged and outstanding balances agreed with accounts.

Weeks 3 to 4: set up

Enter your packages with their real components: flights, Makkah and Madinah hotels with room types and sharing, transport, ziyarat and services. Add your hotels, transport companies, visa processors and service provider as vendors with their payment terms. Set your currencies, payment methods and instalment plans, and prepare WhatsApp templates for common replies such as document lists and payment reminders.

Week 5: import and check

Import a sample first, check it line by line, then import the rest. In TravelSuite, the team imports customers, agents, suppliers and opening balances from Excel during setup; ask how your existing pilgrim list and part-paid bookings will come in. Before you move on, the total outstanding in the new system should match the total in your old records.

Week 6: train

Train each team on its own daily tasks rather than giving everyone a full product tour. The registration desk registers pilgrims and takes deposits, operations allocate rooms and export lists, and accounts record supplier bills. Short practice sessions with your own packages work better than demo data.

Weeks 7 to 8: pilot and switch

Run one real departure, ideally a smaller Umrah group, completely in the system: registration, payments, visa tracking, rooms, manifests and supplier bills. Fix what the pilot shows, then make the switch for all new bookings and stop updating the old spreadsheets. Keep them read-only for reference, but do not run two systems in parallel for long.

TravelSuite's own onboarding is usually 7 to 14 days from choosing a plan to go-live, including setup, data import and training. The longer plan above leaves room for your own preparation and a pilot group before the season.

What to measure after the season

The season is only finished when you know what it earned and what to change. With everything in one system, these numbers come from the same records your team used day to day, so you do not have to rebuild them in a spreadsheet.

  • Profit per package and group: Revenue against flights, hotels, transport and services. Which packages should you repeat, reprice or drop?
  • Collections: Collected against outstanding per group at departure, and how many pilgrims needed several reminders.
  • Supplier costs: Hotel and transport bills against what you budgeted, and which vendors delivered well.
  • Document problems: How many files had missing or late documents, and at which step they were caught.
  • Sales and agents: Sales trend, top packages and sub-agent sales and commission.
  • Sales funnel: How many enquiries became confirmed and paid bookings, and where they dropped out.

TravelSuite's Hajj and Umrah reports show the sales trend, booking status mix, top packages by sales and commission activity, filtered by date, journey and agent, and profit is visible per package, group and season. Vendor ratings and reviews help you decide which hotels and transport partners to keep.

Hold a short review meeting within a few weeks of the last group returning, while details are fresh. Agree three changes for next season, such as earlier hotel deposits, a stricter document deadline or a different instalment plan, and set them up in the system straight away.

Questions to ask before you buy Hajj and Umrah management software

Many products say they handle Umrah. Fewer handle the full season. Give every vendor the same scenario and ask them to show it live, with your own packages if possible.

Demo scenario: a family of five books a 14-night Umrah package, quad sharing in Makkah and triple in Madinah. They pay a deposit today and the rest in two instalments. One passport expires in five months. Show me the registration, the instalment reminders, the room allocation, the rooming list for the Makkah hotel, the hotel bill and the profit for the group.

  • Pilgrim file: Can it hold passport, photo, vaccination and visa status, family and mahram links, and warn about expiring documents?
  • Packages: Are packages built from flights, hotels, transport and services with real costs, and do seats and rooms update as you sell?
  • Groups and rooms: Can it allocate by sharing type and export manifests, rooming lists and transport lists?
  • Payments: Does it support instalment plans, receipts, reminders by SMS or WhatsApp and your local payment methods and currencies?
  • Suppliers: Are hotel, transport and visa bills posted to each group, with due dates and balances?
  • Sub-agents: Can sub-agents register pilgrims and see their commission and balance?
  • Reports: Can you see profit per package, group and season, and filter by Hajj, Umrah and Ramadan Umrah?
  • Data and migration: How will your current pilgrims and balances be imported, how long will go-live take, and can you export your data later?
  • Cost: What is the written first-year total, including setup, users, branches and messaging fees?

If you invoice customers in Saudi Arabia, the UAE, Malaysia, Indonesia or another country with e-invoicing rules, ask how the product will handle them. TravelSuite is adding e-invoicing for 8 countries on the Business plan; ask our team for the go-live date in your country.

This is general information, not legal or tax advice. Hajj and Umrah regulations, licensing and tax rules vary by country; confirm them with the relevant authority or a qualified adviser.

Frequently asked questions

What is Hajj and Umrah management software?

Hajj and Umrah management software is a system that runs a pilgrim agency's season in one place. It keeps a register of pilgrims with passports, photos and visa status, builds packages from flights, Makkah and Madinah hotels, transport and services, allocates groups and rooms, records instalments and supplier bills, and reports profit per package and group. It replaces separate spreadsheets, notebooks and WhatsApp lists, so every team works from the same pilgrim file.

How long does it take to digitize a Hajj and Umrah agency?

Plan for six to eight weeks before your main departures. That covers choosing a system, cleaning your data, setting up packages and suppliers, importing pilgrims and balances, training each team and running one pilot group. The software setup itself is often shorter: TravelSuite ERP onboarding usually takes 7 to 14 days, including data import and training. Avoid switching in the middle of a busy season.

Can pilgrims pay for Umrah packages in instalments?

Yes, and your system should make instalments easy to follow. Set an instalment plan for each package, record every deposit and instalment against the booking with a receipt, and let the balance update automatically. In TravelSuite ERP, payments can be recorded by cash, bank transfer or mobile wallet, due reminders go out by SMS or WhatsApp, and managers see collected and outstanding amounts for each group.

How should an agency allocate rooms in Makkah and Madinah?

Allocate rooms by room type and sharing, such as double, triple or quad, from the hotels you have contracted, and keep families and mahram companions together. Do it as soon as hotels confirm, not on the week of departure. A good system then generates a rooming list for each hotel and a transport list for the bus company, so your partners in Saudi Arabia receive accurate lists without retyping.

Does Hajj and Umrah software handle visas and quotas?

Software can track each pilgrim's documents and visa status stage by stage and show which files are incomplete. It does not replace the official process. Hajj quotas, registration and Umrah visa procedures are set by the Saudi Ministry of Hajj and Umrah, platforms such as Nusuk and your own country's religious affairs ministry, and they change. Confirm current requirements with those authorities every season.

What should we measure after the Hajj or Umrah season?

Measure profit per package and group, collected against outstanding amounts at departure, supplier costs against budget, how many files had missing or late documents, sub-agent sales and commission, and how many enquiries became paid bookings. Review these within a few weeks of the last group returning, agree three changes for next season, and set them up in the system before you start selling again.
