Overview

Invoicing and accounts for travel agencies

TravelSuite ERP includes travel agency accounting software for the daily money work of an agency. Hotel, tour, visa and Hajj & Umrah bookings, accepted quotations and walk-in sales become customer invoices with their items, issue date and due date. Each invoice shows the paid amount against the total, the balance due and a status of draft, unpaid, partial or paid, and overdue invoices are flagged.

Every money movement is a transaction. Staff receive customer payments by cash, bank transfer or cheque, pay approved supplier expenses and issue refunds that stay linked to the original payment or advance. Cancelled transactions remain on record. The transactions list shows the payment number, date, related customer or expense, type, method, amount, status and who received it.

Expenses cover supplier costs and operational liabilities such as accommodation, vendor service costs and agent commission, grouped by category and linked to a booking where relevant. Suppliers carry their type, contact, currency and payment terms, and the supplier payments screen shows total payable, overdue amounts, payments this month and each open bill with its due date.

The accounts dashboard brings it together: cash received, expenses paid, net cash flow, customer and supplier dues, refunds, bills due in the next seven days, top income sources, collection methods and the largest outstanding balances. The Profit & Loss report builds an income statement for any date range on a cash or accrual basis, with print and export.

Invoices and payments

Every invoice knows what was paid and what is left

Bookings and accepted quotations become invoices with their items. Each payment is recorded against the invoice with its method, so the paid amount, the balance and the status are always current.

FAQ

Frequently asked questions

Where do invoices come from?

Invoices are created from hotel, tour, visa and Hajj & Umrah bookings, from accepted quotations, or directly as walk-in and customer invoices. Each one keeps its items, dates, paid amount and balance.

How are customer payments recorded?

Use Receive Payment to record a payment against an invoice with its method, such as cash, bank transfer or cheque. The invoice status updates to partial or paid automatically.

Can I issue refunds?

Yes. A refund is recorded against the original completed payment or advance, with method, reason and amount, and shows in the refunds list and the profit and loss report.

How do supplier bills work?

Record supplier costs as expenses with a category and supplier, approve them, then pay them from Supplier Payments. Each bill shows its due date from the supplier's payment terms, and overdue bills are flagged.

What does the Profit & Loss report show?

Income received, customer refunds, net income, expenses paid, net profit and margin for any date range, with monthly performance, invoice and expense balances, top income sources, top expense categories and a payment method summary.

What is the difference between cash and accrual basis?

The cash basis uses only money actually received and paid. The accrual basis also includes amounts that are invoiced or approved but still due.

Can I set my own invoice numbers and terms?

Yes. Finance settings set the document prefix, the default due days and the standard terms for invoices, proposals and quotations. Changes apply to new documents.

Does it work with the travel modules?

Yes. Bookings create invoices, booking-related expenses are linked to the booking, and vendor payables come from the same accounts records, so sales, operations and finance work from one set of numbers.
